Operations Coordinator

Salary: £29,000 - £33,000

Reporting to: Operations Director

The Opportunity

We're working with a well-established and growing creative agency to recruit an organised and proactive Operations Coordinator. This is an excellent opportunity for someone who enjoys bringing structure, improving processes and ensuring teams have the information and support they need to deliver their best work.

Reporting to the Operations Director, you'll play a central role in the day-to-day operations of the agency, working across departments to keep projects visible, resources well planned and systems running efficiently. While this isn't a client-facing or people management role, you'll be instrumental in helping the wider team operate smoothly and effectively.

What You'll Be Doing

Agency Operations

  • Support the smooth day-to-day running of the agency.
  • Coordinate operational activity across multiple departments.
  • Maintain visibility across all active client projects.
  • Identify operational risks and escalate where appropriate.
  • Contribute to continuous improvement initiatives.
  • Assist with the implementation of new systems and operational processes.

Resource Planning

  • Monitor workloads across departments.
  • Highlight resource capacity challenges.
  • Coordinate freelancer bookings and availability.
  • Support project planning around annual leave and holiday schedules.
  • Produce ongoing weekly operational reports.

Project Management Systems (Monday.com)

  • Manage and maintain the agency's Monday.com workspace.
  • Continuously improve workflows and identify efficiencies.
  • Maintain dashboards and operational reporting.
  • Support the development of automations.
  • Provide training and support to team members using the platform.

Internal Projects

  • Coordinate internal operational projects.
  • Track actions, deadlines and project progress.
  • Organise meetings and follow up on agreed actions.
  • Support the implementation of operational improvements.
  • Maintain accurate project documentation.

Process Management

  • Document agency-wide and departmental processes.
  • Maintain operational templates and documentation.
  • Review and improve internal workflows.
  • Support onboarding documentation for new starters.
  • Ensure operational documentation remains accurate and up to date.

Operational Administration

  • Coordinate supplier information and records.
  • Support proposal administration.
  • Maintain agency records and operational documentation.
  • Assist with onboarding processes for new employees.
  • Support internal communications.
  • Coordinate freelancer administration.

What We're Looking For

  • Previous experience working within a marketing, creative or digital agency.
  • Excellent organisational and time management skills.
  • Strong attention to detail and ability to prioritise multiple tasks.
  • Experience using project management platforms such as Monday.com (or similar).
  • Confident managing systems, workflows and reporting.
  • Excellent written and verbal communication skills.
  • Commercial awareness and a proactive approach to problem-solving.
  • Someone who enjoys improving processes and supporting collaborative teams.

What Success Looks Like

In this role, success will be measured by your ability to create greater clarity, consistency and efficiency across the business. You'll ensure projects remain organised, operational reporting is accurate and up to date, and teams have the visibility and support they need to deliver exceptional work.
